Why September is calendar season

Corporate calendars are one of the few branded items that clients keep in sight for a full year. A desk calendar next to a monitor or a wall calendar in a workshop office puts your name in front of a buyer every working day, and in Singapore they are also a standard year-end and Chinese New Year gift to customers, suppliers and staff. The catch is timing. Calendars must be in clients' hands before the year starts, the print trade is busy from October to January with festive work, and a calendar that arrives in the second week of January is already half forgotten. Companies that do calendars well start planning in September.

This guide covers the main calendar formats, the Singapore-specific content to get right, how to decide quantities, and a realistic timeline for a 2027 run.

Choosing a format

The format should match where the recipient will actually use it. A beautiful wall calendar is wasted on a client who works from a hot desk.

FormatTypical sizeWhere it ends upNotes
Wall calendar, one month per pageA3 or A4 portrait, wire-o bound with hangerWorkshops, clinics, reception areas, homesRoom for strong imagery and a notes area
Desk tent calendarAround 210 x 100 mm or similar, on a card easelOffice desks, countersMost-seen format for office clients
Desk pad or planner calendarA3 or A4 landscape tear-off padDesks used for planningPractical, gets written on daily
Poster or year plannerA2 or A1, single sheetOperations rooms, project officesWhole year at a glance; cheapest per unit
Pocket calendar cardBusiness card sizeWallets, handed out at countersLow cost; useful as a mailing insert

Many companies order two formats: a desk tent calendar for office clients and a wall calendar or year planner for industrial customers and their own staff.

Paper, binding and finishes

A calendar is handled for twelve months, so it needs to hold up.

  • Pages: 150 to 170 gsm matte art paper for wall calendar pages takes pen writing and does not glare under office lights. Gloss makes photographs pop but is hard to write on.
  • Easels and backboards: desk calendars need a rigid base, usually 2 to 3 mm greyboard wrapped or laminated, or a thick printed card folded into a tent. Ask to see a sample; a flimsy easel that collapses on the desk undoes the whole gift.
  • Binding: wire-o at the top for wall and tent calendars, so pages flip over cleanly. Choose a wire colour that matches the brand (white, black, silver and gold are common).
  • Finishes: spot UV or foil on the cover or easel adds a premium touch without affecting writability of the pages inside.

Singapore content to get right

Calendars fail in small, embarrassing ways. Proofread the date grid, then check the local details:

  • Public holidays. Use the official 2027 list published by the Ministry of Manpower, and mark any holiday that falls on a Sunday together with the following Monday off-in-lieu. Some holidays depend on religious calendars and the published dates can be adjusted; check the MOM page again before final approval.
  • School holidays. Clients with families appreciate MOE school holidays marked lightly, and for education-sector clients they are essential.
  • Festive dates. Chinese New Year, Hari Raya Puasa, Hari Raya Haji, Deepavali and Christmas all matter to a Singapore audience. If you include lunar dates or festival markers, have someone familiar with them check the layout.
  • Language. A bilingual English and Chinese calendar is common for companies with Chinese-speaking clients. Plan the grid so both fit without cramped type.
  • Week numbers. Useful for manufacturing, logistics and project teams. Use ISO week numbering and say so.

Put your contact details somewhere they stay visible all year, such as the easel base or the bottom strip of each month, and not only on the cover that gets flipped over in January.

Imagery that lasts twelve months

A calendar image is looked at for a whole month, so it has to hold up to repeated viewing. Stock photographs of handshakes and generic skylines tend to be ignored by February. Images that feel specific to the company do better: your own projects, products, team, or places in Singapore that relate to your work. An engineering firm can use photographs of completed sites; a logistics company can show its fleet across the island; a design studio can feature its own illustrations.

Whatever you choose, make sure you have the rights to print it. Photographs downloaded from the internet are rarely licensed for commercial print, and staff photos need consent from the people shown. Supply images at a resolution suited to the print size (around 300 ppi at final size is the usual target), and ask the printer to flag any that will look soft on an A3 page. A consistent visual theme across the twelve months, with one colour treatment or one photographer, makes the calendar look designed and keeps the brand recognisable from across a room.

Deciding how many to order

Calendars have a hard expiry date, so leftovers are pure waste. Build the quantity from a list and add a sensible buffer:

  • List active clients and the number of contacts per client who should get one. Sales teams usually know this.
  • Add staff, if calendars are part of the internal year-end gift.
  • Add a buffer of around 5 to 10 percent for new clients won in January and damaged units.
  • Check last year's numbers. If boxes were left over in March, cut the quantity.

Unit cost drops with quantity, but the saving on an extra few hundred calendars disappears if they go into recycling. Our article on ordering notepads and diaries in bulk uses the same approach to sizing a run.

A realistic timeline for 2027 calendars

  • September: agree format, budget and quantity. Collect photographs or artwork themes.
  • Early October: design and internal review. Check the public holiday list.
  • Mid to late October: final proofs and a printed sample of the easel or backboard.
  • November: production. Wire-o binding and easel assembly take longer than printing, so allow for it.
  • Early December: delivery to your office and packing, or direct mailing to clients.

If calendars are mailed, order envelopes or mailer boxes at the same time. A desk calendar needs a rigid mailer; a wall calendar goes in a large board-backed envelope. See our guide to branded envelopes and SingPost requirements before sizing them.

Getting internal sign-off quickly

Calendar projects often stall because several people must approve the photographs. Set a single approver, share a PDF proof with every month in one file, and collect comments in one round. The process in our article on print approval workflows for corporate teams keeps this to days instead of weeks.

Corporate calendars from us

We produce wall, desk tent, desk pad and year planner calendars for Singapore companies, with wire-o binding in brand colours, rigid easels and optional foil or spot UV. Send us your logo and a rough idea of the imagery and we can lay out the date grid with 2027 Singapore public holidays, school holidays and festive dates, in English or bilingual. We will send a printed sample of the easel before the full run, and can pack calendars per branch or ship them in mailers. Browse our booklet and bound printing options, then send your format, quantity and delivery date through the contact page. Orders confirmed in September and early October are the ones we can deliver in time for December mailing without a rush.
