Printing employee handbooks, training manuals and SOPs: binding, version control and print on demand

Internal documents that still need to be printed

Most corporate content has gone to the intranet, but a set of documents refuses to. Employee handbooks are handed to new hires on day one. Training manuals sit next to the machine on the shop floor, in the kitchen, in the clinic, in the warehouse, where a tablet would not last a week. Standard operating procedures are printed because auditors and regulators want to see the controlled copy. Safety manuals are printed because the fire evacuation plan cannot depend on the Wi-Fi.

These are bulk print jobs with a twist: the content changes regularly, the copies have to stay identifiable, and old versions have to be removed from circulation. This guide covers how Singapore companies print and manage them: format, binding, quantity, version control, and the choice between printing a year's stock and printing on demand.

Format and binding for documents that get used

A manual that is read at a desk and a manual that is used at a workstation need different treatment.

  • Employee handbook (read once, kept in a drawer): A5, perfect bound or saddle stitched if under 60 pages, 100 gsm inside, 250 gsm laminated cover. Compact, looks like a book, cheap in volume.
  • Training manual (worked through, annotated, referred to later): A4, wire-O bound so it lies flat and folds back, 100 to 120 gsm inside, clear front cover over a printed card cover, tabbed section dividers for anything over 80 pages.
  • SOPs and controlled procedures (updated section by section): A4, ring binder or lever arch with printed spine and cover inserts, pages drilled, each section printed as a replaceable unit. The binder is the permanent object; the pages are consumables.
  • Shop-floor and kitchen instructions (wiped, splashed, handled with gloves): A4 or A3, laminated at 125 to 250 micron, or printed on synthetic paper. Wall-mounted or on a ring.

Our guide to booklet and folded printing covers the binding methods in more detail.

Version control on paper

The single biggest problem with printed internal documents is not printing them, it is knowing which copy is current. Set up the following before the first print run and every later run will follow it.

  • Version and date in the footer of every page. "Employee Handbook v4.2, effective 1 July 2026, page 12 of 48". If a page is photocopied or torn out, it still identifies itself.
  • A change log at the front listing what changed in each version. Auditors ask for it; so do employees who want to know whether they need to reread the whole thing.
  • A controlled-copy number on the cover of any document where distribution matters (SOPs, safety manuals). Number them with a variable field at print time and keep a register of who holds which copy.
  • A colour or edge mark per version. A coloured stripe on the cover or a different cover colour each year lets a manager see at a glance that someone is still using the old handbook.

When a new version is issued, collect and destroy the old controlled copies. For uncontrolled documents like the general handbook, at least send the "v4 is withdrawn" notice and put a stack of the new one where people will take it.

Print a year's stock or print on demand?

This is the decision that decides the cost, and it depends on how often the content changes.

DocumentChangesRecommended approach
Employee handbookOnce or twice a year (policy, benefits)Print 6 months of new-hire volume plus 10 percent; reprint with the next revision
Product training manualEvery product releasePrint on demand per training batch, 20 to 50 copies at a time, from a template
SOP binder contentsSection by section, continuouslyPrint only the changed section, in the exact number of controlled copies
Safety and evacuation manualRarely, but must be correctPrint full stock, but reprint the whole document on any change rather than patching
Laminated workstation instructionsWhen the process changesPrint on demand, one per station, replace all at once

The general rule: the more often it changes, the smaller the run and the more the job looks like a print-on-demand arrangement with a supplier who keeps the template and turns 30 copies around in two days. The less often it changes, the more it looks like a conventional bulk print job where a run of 1,000 makes sense. Our comparison of digital and offset for bulk corporate printing shows where the cost lines cross.

Practical specification points

  • Mono inside pages unless colour carries meaning (safety colours, product photos, screenshots). Colour on every page of a 200-page manual doubles the cost for no benefit.
  • Body text 10 to 11 pt, headings clearly larger, generous margins on the binding edge (at least 20 mm for wire-O or drilled pages).
  • Screenshots at actual pixel size or larger; a shrunken screenshot in a software manual is unreadable.
  • Bilingual content (English and Chinese, Malay or Tamil) either side by side in two columns or as a mirrored second half; do not interleave paragraph by paragraph.
  • For controlled documents, ask for the numbered copies to be packed in sequence with a packing list, so the register can be completed on receipt.

Data protection

An employee handbook is not sensitive. A training manual for a bank's operations team, or an SOP with customer-facing process detail, may be. Under Singapore's PDPA and most companies' own information classification, that affects how the print job is handled: file transfer through a secure link rather than email, confidentiality terms in the supplier agreement, and disposal of overs and waste through shredding. Ask the print supplier what their process is; a corporate printer should have a ready answer.

Printing manuals and handbooks with us

We produce employee handbooks, training manuals, SOP binder contents and laminated workstation instructions for Singapore companies, from single-copy print-on-demand to runs of several thousand. Templates are held on file with version and date fields, controlled-copy numbering is applied at print time, and changed sections can be printed and drilled to match an existing binder. For confidential material we accept files through a secure transfer link and shred all production waste.

If you are setting up a document for the first time, send us the draft and tell us how it will be used; we will recommend the format and binding and quote both a bulk run and an on-demand arrangement so you can compare. Our digital printing services page lists the options, or contact us to discuss a rolling print arrangement for your internal documents.
